Adding faculty evaluators, tutors, SI leaders, and community ed students to Canvas classes

You cannot manually enroll users at the student permission level to your Canvas class.

If you have any of the following, follow the specified directions to have the user enrolled within your course at the student permission level.

  • Faculty Evaluator: Contact Heidi Willis at (760) 795-6827 or hwillis@miracosta.edu in the Office of Instruction when you need to provide access to a peer, your chair, etc. to conduct an evaluation.
  • Tutor: Contact Janine Washabaugh at (760) 757-2121 ext. 7748 or jwashabaugh@miracosta.edu in the Tutoring & Academic Support Center (TASC) .
  • Writing Center SI Leader: Contact Jessica Perez-Corona at (760) 757-2121 ext. 6339 or jperezcorona@miracosta.edu in the Writing Center.
  • Community Education Student: Contact Karen Turpin using the form here or email kturpin@miracosta.edu. Include the confirmation of student enrollment through community education, the SURF ID of the student, and your 4 digit class number.

DO NOT attempt to add students to your course on Canvas. Students are automatically enrolled from SURF to your Canvas course several times a day.

You should not add anyone to Canvas as a teacher. Teachers are assigned via SURF.

Filtering your Roster List by Role in Canvas People

By default the People tool will display all users enrolled in your Canvas course. You can filter the users by role to obtain the count of users in that role as well as Last Activity and Total Activity.

From within a Canvas Course:

  1. Click on Peoplepeople-1
  2. Click on All Rolespeople2
  3. Select the specific role. The count will be displayed to the right of the role name.people3

 

Add a TA or other MCC Employee to Canvas

Instructors of Canvas classes can add a TA or other MiraCosta College employee to your Canvas course with TA, designer, or observer permissions.

DO NOT add students to your course on Canvas. Students are automatically enrolled from SURF to your Canvas course several times a day.

You should not add anyone to Canvas as a teacher. Teachers are assigned via SURF.

Add a TA or other MCC Employee to Canvas

  1. Enter your Canvas course
  2. Click People on the left course menu
  3. Click the +People button at far right
  4. Select Login IDAdd People
  5. Enter SURF ID of the user in the box.
    • You can enter one user at a time.  Example: jjulius
    • Or multiples with a comma and space between eachExample: jjulius, mparks
  6. Select the appropriate role for the user. ‍
    • Available role options are TA, Teacher, Designer, and Observer (see below for details on these options)
  7. Click the Next button
    • Some IDs may already be used in Canvas at other colleges. If you get a prompt about this, select the ID that is associated with MiraCosta College.
  8. Click the Add Users button

Course Roles Explained

Note: None of the following should be used for evaluators, tutors, SI leaders, or community education students. See separate instructions if you need to add any of those.

Teaching Assistant (TA) Role

  • Primary use: TAs assigned to a specific class to help the instructor.
  • Permissions: TAs have permissions equivalent to the Teacher role. They have all course-level permissions, including the ability to add, edit and delete all content in a course; grade students; edit course settings; and manually add individuals with active Canvas user accounts.
  • Limitations: None.

Teacher

  • Please DO NOT use this role. Teachers are assigned automatically based on SURF.

Designer

  • Primary use: Department staff, content providers, and other instructional support staff.
  • Permissions: Create course content, discussions, announcements, assignments, quizzes, and other content features.
  • Limitations: Designers cannot add other individuals to a course and cannot access grades.

Observer

  • Primary use: Mentors, advisors, and others who need to monitor a student in a course. This is not for course evaluation.
  • Permissions: Observers have access to view course content.
  • Limitations: Observers have no permissions to edit or participate in course activities.

Canvas User Profile Names

The first and last name displayed in your Canvas profile is stored in the preferred name field within the Peoplesoft / SURF registration system. Once your preferred name is updated in Peoplesoft / SURF it will update in Canvas during the next scheduled SURF integration.

To update your first or last name within your Canvas profile:

Faculty

Contact the Human Resource Office to update your preferred name in Peoplsoft/SURF.

Specify that you want to update your preferred name in Peoplesoft/SURF for Canvas.

Note: If you update your preferred name in Peoplesoft/SURF for Canvas it will also update your instructor name on the SURF class schedule.

Please be advised that your permanent HR and payroll record will reflect your legal name unless you legally change your name and notify HR.

Students

This form is for students who wish to use a preferred name instead of their legal name for interactions with the College. This form should be filled out and submitted to the Admissions and Records Office.

Please be advised that your permanent record will reflect your legal name unless you legally change your name through the courts and complete MiraCosta College Change of Information form.

Canvas Student ViewStudent View

You can view a course the same way that your students view your course without logging out of your instructor account. Enabling Student View creates a ‘Test Student’ in your course. You can activate Student View in your Course Settings.

To see the student’s perspective on Canvas, use Student View to view the course, post and reply to discussions, submit assignments, view grades, view people, view pages, view the syllabus, view quizzes, view the calendar, and view the scheduler.

What Does Not Work in Canvas Student View

Attendance, conferences, conversations, collaborations, differentiated assignments, groups, LTI tools, peer reviews, and profiles do not work for the Test Student. Also, you will see only what you, as the instructor, allow your students to see.

Sample Student Account

At MiraCosta College all faculty have a separate sample student user added to their Canvas course. This is a separate account from your primary MCC faculty login account. The sample student account needs to be reset two times a year at the same time your employee password is reset.

With the sample student account all course content and tools that you have enabled for your students will work. This includes taking attendance, conferences, conversations, collaborations, differentiated assignments, groups, LTI tools, and peer reviews.

Reminder: You must publish your course and you must publish the course content or tool within Canvas before you can access it with your sample student account. Your sample student account has the same course permissions as your enrolled SURF students.

Sample Credentials

Add -student to the end of your MCC faculty login account. This will be your sample student account.

Example Log On:   kturpin-student
Password: Contact the Employee Helpdesk at (760) 795-6850 for a password for first time users.
